A label can look finished on a screen and still create delays, added cost, or inconsistent results at press. Knowing how to prepare label artwork before it reaches production helps protect your brand, shorten approval cycles, and ensure the label performs correctly on the package, shelf, and throughout distribution.
For food, beverage, health and beauty, pharmaceutical, industrial, and other packaged products, artwork preparation is not just a design task. It is a production requirement. The right file setup gives your printer the information needed to reproduce your graphics accurately, cut the label correctly, and identify any potential issues before materials are committed.
Start With the Final Label Specifications
Artwork should be built for the actual label, not a general approximation of the package. Before your designer begins, confirm the label size, shape, application method, container dimensions, material, adhesive, and intended environment. A paper label for a dry retail carton has very different requirements than a moisture-resistant bottle label, freezer label, or chemical-resistant industrial label.
Your printer should provide a dieline or an approved template for custom shapes. This file shows the final cut line and, when needed, the areas for perforations, scores, or special finishing. Keep the dieline on its own clearly labeled layer and do not alter its dimensions. It is a production reference, not part of the printed design.
If the label wraps around a bottle, jar, can, or tube, account for the container’s taper, seams, and application tolerances. A design that appears centered in a flat proof can shift visually once applied to a curved package. For a new package format, a physical application sample can be worth the extra planning time.
Set Bleed and Safe Areas Correctly
Labels are trimmed or die-cut after printing. Small movement during finishing is normal, which is why artwork needs adequate bleed and a protected safe area.
Extend any background color, photograph, pattern, or graphic that touches the edge beyond the dieline. A common starting point is 0.125 inch of bleed, but the correct amount depends on the label size, shape, press process, and finishing method. Confirm the requirement for your project rather than assuming every label follows the same standard.
Keep important elements inside the safe area. Product names, ingredient statements, barcodes, logos, legal copy, and small decorative borders should sit far enough from the cut edge to avoid appearing crowded or being trimmed too closely. This matters especially on small labels, circles, ovals, and custom contours, where usable space is more limited than the overall dimensions suggest.
Thin border lines deserve extra caution. A border placed close to the edge can look uneven even when the label is within normal cutting tolerance. If a framed look is central to the design, allow more space between the border and the cut line or use a background treatment that is less sensitive to minor registration variation.
Build Print-Ready Artwork, Not Screen Artwork
Professional label files should be created at final print size whenever possible. Raster images, such as product photography or textured backgrounds, generally need to be at least 300 pixels per inch at their placed size. Enlarging a low-resolution image after it has been added to the layout will not restore detail. It may produce soft edges, visible pixelation, or muddy type.
Use vector artwork for logos, icons, illustrations, and line art whenever possible. Vector elements remain sharp when scaled and are especially valuable for small label type and fine graphic details. If a logo was supplied as a low-resolution image, request the original vector file before production.
Set your document to the color mode requested by your printer, typically CMYK for process printing. RGB colors are designed for digital displays and can shift significantly when converted for print. A bright screen color may not reproduce with the same intensity on paper, film, metallic material, or a clear label.
For brand-critical colors, identify Pantone or spot-color requirements early. Some colors can be reproduced effectively with process inks, while others may require a dedicated spot color or a specific production approach. The best option depends on the label material, press, finish, color tolerance, and order quantity. A printer can advise on the most cost-effective way to protect brand consistency.
Keep Type Clear, Embedded, and Readable
Small type is common on labels, particularly when ingredient panels, instructions, warnings, lot coding space, or regulatory content must fit within a limited area. That makes font handling and readability essential.
Provide fonts with the native artwork or convert type to outlines after the copy has been fully approved. Outlining prevents font substitution, but it also makes future text edits more difficult. For that reason, keep an editable working file with live text as part of your internal records.
Avoid using very thin typefaces, reversed-out copy, or fine serif fonts at extremely small sizes without reviewing a proof. Type that looks acceptable at 200 percent on a monitor may fill in, break up, or become difficult to read in print. This is particularly true when printing light text on a dark background, metallic substrate, textured paper, or uncoated material.
Proofread every word before release. Check product names, flavor names, net contents, UPC numbers, website addresses, legal statements, country-of-origin claims, and contact information. If your label is regulated, involve the appropriate internal compliance, quality, or legal team. A print partner can help identify production concerns, but the brand owner remains responsible for the accuracy and approval of label content.
Prepare Barcodes and Variable Information With Care
A barcode is a functional production element, not simply a black graphic. Use the correct barcode type for your retail, warehouse, or distribution system, and preserve the required quiet zones around it. Do not stretch, compress, recolor, or place a barcode over a busy image or reflective background unless it has been tested for reliable scanning.
Whenever possible, provide barcode artwork as vector art and have the final printed label verified if scan performance is business-critical. Material, ink density, laminate, print contrast, and label curvature can all affect readability.
If labels include variable data such as lot numbers, expiration dates, serial numbers, sequential numbering, batch codes, or personalized content, define those requirements at the quoting stage. Specify the data source, format, placement, character limits, and whether the information will be printed during label production or added later during packaging. Leaving these details until the final artwork review can create avoidable revisions.
Separate Special Effects and Finishing Instructions
Premium labels often include more than ink on a standard substrate. Foil, embossing, debossing, tactile varnish, spot gloss, matte varnish, white ink, metallic films, clear films, and laminates each require clear production direction.
Create separate named layers or spot-color swatches for each nonstandard process. For example, label a layer “Spot Gloss,” “White Ink,” or “Foil” rather than leaving effects implied by the visual appearance of the design. Use 100 percent solid shapes where the printer requests them, and clearly indicate whether an effect should print under, over, or around other artwork.
White ink requires particular attention on clear or metallic materials. It may be used as an underprint to make CMYK colors appear more opaque, as a standalone design element, or as a flood coat behind selected graphics. The result depends on how the white layer is built. A clear label with no white underprint can create a striking no-label look, but colors and small text may be less visible against the product inside the container.
Export the File Your Printer Can Use
A press-ready PDF is often the preferred delivery format, typically exported from the original design application with bleed included and crop marks only if requested. High-resolution images should be embedded or properly linked, and all spot colors, dielines, and special-effect layers should remain intact.
Native files may also be useful when a project requires prepress adjustments or variable-data setup. Send only the final approved version, along with supporting assets if requested. Clear file names reduce confusion during approval and repeat orders. Include the product name, label size, version, date, and revision number, such as “CitrusSparklingWater_8oz_FrontLabel_R3_071526.”
Before release, review the artwork at 100 percent size. Confirm the dieline, bleed, spelling, barcode placement, color callouts, and special finish layers. Then compare the file to the approved quote and specification sheet. The artwork, material, adhesive, finish, and quantity should all describe the same job.
Use the Proof Stage to Catch What Screens Miss
A digital proof is a valuable approval tool, but it is not always a color contract. Monitor settings, office printers, and desktop paper samples do not reliably represent the final result on production label materials. When color, opacity, finish, or application performance is especially important, ask about the best proofing approach for the project.
Review proofs with the package and end use in mind. Consider how the label will look under retail lighting, in refrigeration, after handling, and against the actual container color. For a repeat program, retain approved samples and specifications so future runs can be measured against an established standard.
