For food, beverage, pharmaceutical, health and beauty, and industrial products, the cost of a reprint can extend well beyond the label order itself. Find the Cause Before Correcting the Symptom

Reprints tend to fall into a few predictable categories: artwork errors, incorrect variable information, color expectations, material or adhesive failures, and changes made after approval. The immediate issue may be obvious, but the process failure behind it is often less clear.

For example, a barcode that will not scan may be blamed on print quality when the source file was too small, placed on a difficult background, or generated incorrectly. A label that lifts in refrigeration may appear to be an adhesive issue, but the real cause may be moisture, condensation, container texture, or application temperature. A color dispute may result from comparing a printed label to an unapproved screen image rather than to a physical proof or established color target.

How to Reduce Label Reprints With Better Specifications

A complete label specification gives every party the same production target. It should be established before artwork is finalized, not assembled after files are sent to print. At minimum, document the finished label size, shape, corner radius, material, adhesive, finish, roll direction, core size, unwind direction, quantity, and application method. For products with specific compliance needs, include required copy, warning statements, ingredient panels, lot-code areas, barcode requirements, and any mandatory symbols.

Container details matter just as much. A label designed for a smooth glass bottle may not behave the same way on a textured plastic jar, a flexible pouch, or a curved metal can. Provide the container material, diameter, label panel dimensions, and the conditions the package will experience from production through end use.

When requirements are still being evaluated, use a formal specification as a working document. It can be updated as testing confirms the right construction. What should be avoided is relying on assumptions or an old label order that was made for a different package, fill process, or distribution environment.

Control Artwork Before It Reaches the Press

Artwork is one of the most common sources of avoidable reprints because it involves many moving parts: brand teams, regulatory reviewers, marketing, operations, and outside designers. A proof approval process needs clear ownership. If everyone is responsible for approval, no one is truly accountable.

Assign one person or team to provide final written authorization after all stakeholders have reviewed the proof. That approval should cover spelling, product names, UPCs, nutrition or drug facts, net contents, legal copy, graphics, and layout. It should also confirm that the artwork version is correct. File names such as “final,” “new,” or “final-final” create confusion when multiple versions are in circulation.

Use a controlled naming convention that includes the product, SKU, revision number, and date. Keep approved art in one accessible location and retire superseded files. A simple version-control process prevents an older label from being reordered by mistake months later.

Production-ready files also reduce risk. Fonts should be embedded or outlined when appropriate, linked images should be high resolution, dielines should be clearly identified, and nonprinting elements should be separated from print artwork. Small type, reverse text, fine rules, metallic effects, and transparent elements deserve added attention because they can behave differently in print than they appear on screen.

Approve Color With a Realistic Standard

Color is subjective until a production standard is agreed upon. Monitors vary, office printers are not color targets, and lighting can change how a label appears. A brand color that looks acceptable in a digital proof may look different on a glossy white film, a clear substrate, a textured paper, or a metallic material.

For color-critical work, establish the expectation early. A physical proof, approved press sample, or defined color target provides a far more reliable reference than a screenshot. If a color must match across multiple product lines or print runs, make that requirement part of the job specification.

There are trade-offs. Some colors, substrates, and finishes require additional setup, specialized inks, or a different print approach to achieve the desired result. These steps can add cost upfront, but they are often less expensive than rejecting finished labels or delaying a launch because the visual result was never clearly defined.

Test the Label Where It Will Be Used

A label can look excellent when it leaves the printer and still fail after it reaches the packaging line. Application conditions, product fill temperatures, surface contamination, humidity, refrigeration, and shipping conditions all affect performance.

Whenever a new label construction, container, or use environment is involved, test samples under real operating conditions. Apply labels using the actual equipment when possible. Then evaluate adhesion, wrinkle resistance, flagging, scuff resistance, readability, barcode scanning, and removal performance if applicable.

This step is particularly valuable for refrigerated foods, frozen products, beverages with condensation, bath and beauty products used around water, and industrial products exposed to oils or chemicals. It also matters when changing from one container supplier to another. A minor change in bottle resin or surface treatment can affect how the adhesive performs.

Testing adds time before production, but it reduces the chance of discovering an issue after thousands of labels have been printed or applied. For repeat products, retain a documented record of the approved material and adhesive combination so future orders begin with a proven construction.
